Administrative Assistant

The Judicial Branch is a state-funded Branch of Government that offers medical/dental/vision, $20,000 free basic life insurance, state-matched 156% retirement plan, 13 paid holidays, earned paid vacation and sick leave, and more.

This position is responsible for performing administrative support for the department director. Responsibilities may include managing calendar for department director; creating department budget estimates; coordinating vendor procurement contracts; handling escalated customer service requests requiring advanced knowledge, experience and independent initiative; processing procurement, payroll, and human resources transactions; maintaining records; and coordinating travel reservations and logistics for department head; and/or providing specialized administrative support to senior staff and logistical support for programs.

Provides advanced and specialized administrative support to a department executive, which may include providing input for new hires; maintaining department executive calendar; scheduling and coordinating appointments, meetings, activities, or events; attending meetings and taking notes. Composes, edits, and reviews a variety of standard or specialized correspondence, reports, documents, applications, forms, violations, memos, and other applicable materials. Responds to requests for information, in person, via e-mail, and over the phone; provides and explains department policies, procedures and regulations. Organizes and maintains files, such as creating and maintaining confidential department/employee files; files documents alphabetically, numerically, or by other prescribed methods.

Creates purchase orders; orders and maintains office inventory and supplies, may prepare and deposit checks, process department payroll.

Requirements / Qualifications

Minimum Qualifications: Associate’s degree in related field; and 2 years of advanced administrative support experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.

All educational credits must be granted from an accredited institution approved by the U.S. Dept. of Education.

Preferred Qualifications: Persons with previous juvenile justice lived experience/system involvement encouraged to apply.

  • Individuals with lived experience bring a core expertise which is essential and will inform the work of the Juvenile Probation Services Division.
  • Applicants must have 2 years between juvenile justice system involvement and applying for this position.

Physical Requirements: Positions in this class work is primarily sedentary, although some slight physical effort may be required, not to exceed 20 LBS.

HIRING RATE (during probation): $48,826.90 per year

MINIMUM RATE (after probation): $50,047.63 per year
